Why you should be using a G Suite Account

Why use a G Suite account? Well, G Suite is a phenomenal set of tools. We use it here at Simplify Everything for basically everything. If it could make coffee, it would do that here too, but sadly it doesn’t (yet). By the time you finish this blog post, I’m sure you’ll agree that G Suite is a must have in the business world of 2019.

What is G Suite?

G Suite (formally known as Google Apps ) is a collection of applications used most commonly for email. Chances are you’ve had a standard Gmail account in the past. When Google started giving them out in the mid-2000s, they were all the rage. You’ll feel right at home with G Suite if you’ve ever had a standard account. If not, don’t fret: G Suite is so user-friendly anyone will grasp it. A G Suite email account looks, feels and behaves exactly like a standard Gmail account. The exception is that your email address is not someone@gmail.com, but rather someone@yourcompany.com.

G Suite is so much more than just email though. Hold on to your hats folks, this is where things get good!

Having a G Suite account is like always having your office with you. Use Docs to create a new Document, Sheets to do your accounting or planning, Slides to present it to your client and Gmail to send it to them. You can even export your work to a Word/Excel/Powerpoint file for those old school buddies of yours who still live in 1999.

So you are on the road and disaster strikes: A client has the wrong document! Anyone else would be beside themselves, no laptop, no desk, no way…

Good job G Suite has you covered. Log in to your Drive (where you save all of your work securely in the cloud) from your phone and attach the correct document to an e-mail in Gmail to your client. Disaster averted.

Gmail

Gmail is the most popular email client with an astounding 26% of the market share based on open rates. It’s no surprise since Gmail has been around since 2004 boasting over 1.5 billion users.

G Suite essentially allows you and your employees to have their own Gmail accounts with email addresses with your business name (for example john@yourbusiness.com).

Everybody hates spam. Even spammers hate spam. Gmail is here to help: Their complex spam filters and algorithms make spam fighting easier than when Mike Tyson knocked out Marvis Frazier in 30 seconds.

On top of that, you can create your own rules, filters, and labels so that every email lands in the exact box it’s supposed to land in. Newsletters can be auto sorted and travel tickets, flights, hotels, etc show up in your calendar automagically.

Google started in the cloud and runs on the cloud, so it’s no surprise that they fully understand the security implications. Google Drive

Google Drive allows you to store, access, and share your files in one secure place. Once you have your documents in the Google Drive you can access them from any device. G Suite Basic accounts come with 30GB of storage each. G Suite’s also has other editions called Business, Enterprise, and Teams. These can provide unlimited storage so you will always have enough space for your files. Be careful though: If you’re a small team with less than 5 users, you only get 1TB/user.

Google Drive was created by Google. Obviously, duh! Remember the guys who run the largest search engine on the planet? Well, they have implemented an amazing search functionality right into Google Drive! You can even search based on the content within a file (regardless of the name of the file). A lifesaver when you know what you are looking for, but you have no idea where it is. A pretty handy feature that has saved a lot of time in the past for Simplify Everything team members. No matter how disorganized you are, finding the correct file is now handled with ease.

Google Docs and Google Sheets

Google Docs and Google Sheets allow you to create and edit text documents and spreadsheets right in your browser. They are basically like Microsoft Word and Excel for 2019. Import your documents to make them instantly editable, (yes, even including Microsoft Word, Excel, and PDF files). One of the must-have features for us is the ability to co-work on a document in real time, you can even collaborate and comment on Microsoft Office files without having to automatically convert them to Google’s format if you absolutely need to.

Due to the real-time commenting and unlimited versions (previous versions are kept indefinitely and they don’t count toward your storage), it’s super easy to track changes made to a document or undo a mistake. It’s also super simple to share your work with colleagues or friends.

Because you can export to common third-party formats it’s easy to collaborate with other individuals or companies and send files back and forth, without ever needing to install or buy additional software.

Added bonus: Google Docs and Spreadsheets created directly in G Suite don’t count towards your storage limit. So create away!
